Heat Merchants Group have an excellent opportunity for a HR Assistant to join the team at our Business Support Office in Athlone, Co Westmeath. This is a fantastic opportunity for an enthusiastic candidate to gain excellent exposure to the various facets of HR and grow their career.

The overall purpose of this role will be to provide administrative support to the HR Team.

JOB SPECIFICAITON:

Key responsibilities include:

  • Maintain and update employee records and files accurately and efficiently.
  • Assisting with maintaining and updating the Time and Attendance system.
  • Issue contracts of employment and other HR related documents and follow up on any outstanding documents being returned. 
  • Dealing with telephone and face to face queries from Managers and employees throughout the Group.
  • Updating the organisational structure charts as and when any employee changes occur.
  • Maintain and update the HR section on the Intranet (SharePoint) including ensuring all relevant updated policy documents and forms are available to all employees.
  • Liaise with Line Managers to ensure the probation reviews are completed in a timely manner.
  • Raise requisitions as & when required on the ERP system (CORE) and liaise with Finance to ensure HR related invoices are paid in a timely manner
  • Organising training including induction.
  • Support the recruitment and selection process including screening calls, scheduling interviews, preparing interview packs, completing reference checks and issuing offer or regret letters.
  • Taking and typing minutes of meetings when required
  • Uniform and PPE ordering and distribution including following up on paperwork for same to ensure all PPE is signed for.
  • Ensure training rooms are set up, training attendance and feedback forms are issued and collected.
  • As and when required check travel and expenses claims to ensure details are correct.
  • Provide support to project work or events led by HR such as wellness initiatives, recruitment fairs etc.
  • Provide relief cover on Reception as part of a rota.
  • General Filing duties
  • Dealing with travel and meeting room bookings if required
  • Adhere to Company policies and procedures.
  • Any other duties as reasonably requested by Management.

PERSON SPECIFICATION

The following criteria will be used in the selection process. Only those applicants who meet the essential criteria will be shortlisted for interview. The Company reserves the right to initially shortlist those candidates who meet both essential and desirable criteria.

Essential:

  • A minimum of 1 year’s HR experience gained in a fast-paced HR Department
  • A good standard of proficiency in Word, Excel and PowerPoint.
  • Ability to work to deadlines whilst maintaining a high level of attention to detail.
  • Excellent communication skills and organisation skills with the ability to prioritise tasks.
  • A proven ability to observe discretion and confidentiality at all times.

Desirable:

  • Possess or be working towards a recognised HR Qualification.
  • Full clean valid driver’s license and be willing to travel to various branch locations if required.
